Guide for stand builders. How to build a stand step by step.

There are many things to have in consideration while we are doing the preparation of a stand or an event. How does a stand builder work? What elements should we consider before we think of a stand for a fair or a corporate event? In this article we will solve all your doubts about the exhibition stand design and build process. Briefing

The first step we should take when we start the processs of exhibition stand design and build Is to consider the ideas or concepts that our client wants for the tradeshow stand, what he wants and what he’s looking for. The beginning of the stand builders work starts with an essential document, the Briefing, in which the characteristics and requirements of the exhibition stand design and build are specified.

You should also collect important information regarding the exhibition stand design and build process: a map with the location of the exhibition stand in the fair, construction regulations and budgets. When we talk about exhibition stand design there are two different possibilities. One is that the client sends a design with his Briefing, developing technical and constructive plans, the budget, the production and the assembly of stands around it. On the other hand, the client may ask for a stand design proposal, in which case we would base it on the Briefing to carry it out.

Design

If the client wants us to prepare the exhibition stand design and build, we should develop the stand design ourselves, giving all the necessary information to the graphic designer: the customer’s briefing, the plans for the location of the stand at the fair, the construction regulations, the customer’s branding manual , the company’s logos, tge graphic files, orientation photographs, etc. Once the first version of the exhibition stand design has been made, the proposal is sent to the client, and the stand builders should wait for the approval or the rectifications made by the client. It’s quite common to receive a feedback between the first design and the final stand design, bringing us to design several versions or options, due to changes requested by the client, by the designer or by production needs.

Budget

From the design or construction plan we can start to manage the production. For this we need documents such as renders, technical drawings, location plans and basic information for the assembly of stands as the dates of assembly and disassembly, the dates of the congress or fair, the venue, what types of finishes requires creative design of stands, materials and all kinds of logistics information.

We must take care of the various elements for the construction of stands such as carpentry, painting, carpets, electrical solutions, signage, audiovisual, furniture, gardening and decoration, metalwork, methacrylates, upholstery, lighting, etc. As we define these elements we can fix the budget, which will vary considerably depending on these decisive factors in the assembly of stands. When making the budget, we will also take into account items such as the purchases that we will have to make, travel management in the case of an international stand assembly, logistics and transport expenses and daily subsistence allowance. Once all the budget expenses have been calculated, it is sent to the client for approval. Once approved we can start the production process for the construction of stands.

Constructive plans

From the design or construction plan we can start to manage the production. Fair and plan supplies

Both the design and the construction plans will be sent to the fair organization so that they can approve all the elements proposed. Usually, the Project Manager is in charge of taking control over the exhibition stand design and build process, so they will be the ones who control everything. They will do the same with fair supplies such as the assembly fee, box and the electric power, water and the drain, compressed air, rigging points, internet connections, etc.

Product supervision

The stand builders must supervise the production constantly, visiting the workshops and checking all the elements (measurements, colours, materials, finishes) for the correct exhibition stand build.

Exhibition stand build

The exhibition stand design and build is usually a long and delicate phase, as the assembling times are usually very tight and limited and the work process demands the intervention of diverse specialists: some of them can’t start their work without the previous ending phase of their colleagues. For example, a specialist can’t place the vinyl on a wall if it has not been raised before and is in perfect conditions for it, so it is important that the Project Manager directs the various work teams to facilitate collaboration between them.

 

The working process for exhibition stand design is usually demanding and urgent so professional stand builders must be prepared to work in an orderly and clean way. It is also very important to accomplish with all safety regulations imposed by the fair, as well as to remember the regulations on occupational risks to avoid incidents.

Wearing the regulatory clothing as well as a helmet and safety boots is important during the exhibition stand build process. A good coordination, the correct distribution of working times and the effective resolution of possible unforeseen events or unexpected problems will make the difference. Is in this time that the Project Manager demonstrates his skills and ability to successfully carry out the assembly of stands. Once the construction is finished it is important to take into account the cleanliness, to give the best of the finishes to our corporate stand.

Opening

Once we’ve finished the short but intense process of assembly the big day comes: the opening of the fair or congress. The day before the stand builder will deliver the keys to the client of and they will check that all the finishes and details are done, and the stand is as good as expected.  From that moment, the function of the exhibition stands for fairs and events is to impress the visitors and look their best.

Dismantling

Once the event, fair or congress is over we will go through the process of dismantling, reversing the process, recycling the elements that can be reused and throwing away those that no longer serve. Professional stand builders know that the life of these structures is usually short and intense, that is why before proceeding to the dismantling and permanent disappearance of our ephemeral architecture, we recommend taking some pictures of the work we’ve made. Remember that once the exhibition stand build was done and it has been disassembled, it will never exist again in the same terms.

 

Project closure

The last step of the process is the closure of the project, both budgetary and logistic. Controlling the economical accounts, closing all the processes and make an analysis of the results is important to learn about our own work as stand builders and make an assessment of the work carried out.

Arrived at this point we realize the multiple factors that make up the process of building stand assembly and how important it is to control them all to avoid problems. To work in this dynamic sector, it is important to have a global vision but also to be precise and have wide knowledge of all the factors and elements that make up the exhibition stand design and build process.
